SUBJECT TO DISQUALIFICATION PROCEDURES COLLEGE OF AGRICULTURAL AND ENVIRONMENTAL SCIENCES
CRITICAL CASES:
One week before the quarter begins, Staff in the Undergraduate Academic Programs (UAP) Unit pull files for the previous quarter contracts for Subject to Dismissal II (S2), Reinstated (DR), and Readmitted (RA). (See Attachment #1 for definition of each code.) During the first week of the quarter, the Office of the Registrar (OR) provides the UAP Unit with a list of students who are in academic difficulty. The most critical of these files from the OR are Subject to Disqualification (S1, S2, P3). The Student Affairs Officers (SAOÕs) and the Associate Dean review files that were pulled before the quarter began and ones that were sent from the OR for academic performance.
Based on information in the files (that were pulled before the quarter began and ones that were sent from the OR), contacts with students, departments, and the Associate Dean, dismissal letters or contracts to continue with explicit terms for improved academic status are sent during the first three weeks of the quarter.
APPEAL
OF DISQUALIFICATION
Students who have been dismissed can appeal with the Appeal of Disqualification form. This form has critical key questions to help students clarify why they have had academic difficulties. Appeal Petitions are reviewed by the Dismissal Review Committee (SAOÕs and the Associate Dean). If the dismissal appeal is approved and the student is allowed to continue, a reinstatement contract letter is sent. The committee considers issues that may cause academic success to be impossible (illness, financial difficulties, personal issues, family problems, or lack of realistic plans to improve study skills). Dismissal after Spring Quarter with positive improvement of grades during UC Davis Summer Session(s) may request reinstatement. Some cases will require the student to take a break from his/her academic career or attend a community college. Authority for readmissions rests with the Associate Dean of the College. A Readmission Application will need to be filed by the student.
LETTERS OF WARNING:
Files for Probation (P1) and Probation Continued (P2) are also sent from the RegistrarÕs Office during the first week of the quarter. However, these files are not pulled. Letters are sent based on the following criteria:
Probation 1: First time on probation. GPA was less than 2.0, but not less than 1.5 for the quarter.
Probation 2: Continued on probation. GPA is less than 2.0 for all courses taken within the University of California.
SUBJECT TO DISMISSAL CODES AND DESCRIPTIONS
Probation and Dismissal:
A student will be placed on probation or subject to disqualification for failure to meet qualitative standards. The qualitative standards of scholarship require that a student maintain a C average (2.0) or better for all work undertaken in the university and for work taken in any one quarter. Students with scholarship deficiencies are subject to the following actions:
